When to use it
Use when an owners corporation in Victoria must give notice of its annual general meeting. The motions are settled by the committee or the lawyer before they are sent.
Used for these tasks
- Draft a meeting notice from an approved agenda
- Check the motions and the notice against the resolution each outcome needs
Each task page says how far AI may help with the task and what the lawyer must review.
How AI may be used
AI may assemble the notice from the approved agenda and the financial papers. It must not write a motion or a resolution.
AI may
- Place the date, time and location into the notice from the instruction
- Check that the financial statements, budget, reports and previous minutes are listed as attachments
- Flag a notice dated fewer than 14 days before the meeting
AI must not
- Must not draft a motion, a special resolution or a unanimous resolution
- Must not decide the fees or the budget
- Must not say that the owners corporation must hold a meeting if it is not known whether it received or paid money
The lawyer checks
- Notice is in writing and is handed or sent to all lot owners at least 14 days before the meeting
- The text of any special or unanimous resolution is set out in the notice
- The gap since the previous annual general meeting is not more than 15 months
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
