When to use it
Use when an owners corporation or strata manager prepares a certificate, or when a purchaser's or mortgagee's lawyer checks one before completion. Always use the current approved form.
How AI may be used
Bounded assistance. AI may populate a draft from the strata roll, levy ledger, insurance schedule and minutes, listing the source of each figure; a person checks every figure before the certificate is signed.
AI may
- Populate a draft certificate from the levy register, strata roll and minutes, with the source document and page beside each figure.
- Flag special levies, interest, common property rights by-law charges and works recoverable from the owner.
- Compare a certificate received from another party with the strata records provided on inspection.
AI must not
- Must not issue or seal the certificate.
- Must not fill any figure that has no source document.
- Must not omit levies resolved but not yet raised in the ledger without flagging them.
The lawyer checks
- Every figure ties to the levy register and the latest minutes, including resolutions passed after the last levy notice.
- The current approved form is used and the certificate is dated.
- Committee, managing agent and building manager details are current.
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
