When to use it
Use to offer employment that either party may end. Do not use it for a fixed term, a collective-bargaining unit, or an executive contract with severance. Add the wage notice the state of work requires; this letter does not contain one.
Used for these tasks
Each task page says how far AI may help with the task and what the lawyer must review.
How AI may be used
AI may fill title, start date, pay and manager from an approved offer sheet. The lawyer checks at-will wording, any exemption description, and the state where the employee will work before the letter is sent.
AI may
- Fill title, exempt or non-exempt label, pay, start date and work location from the approved offer sheet
- Compare a prior letter with this form and list extra clauses, including any non-compete or fixed term
- Check that the letter does not state a period of employment longer than the at-will sentence
AI must not
- Must not decide that the job is exempt from overtime
- Must not add a non-compete, a non-solicit or a severance promise
- Must not complete or store Form I-9 in a tool that is not approved for identity documents
The lawyer checks
- The at-will sentence matches the state of work, including California Labor Code § 2922 if the employee will work there
- Pay and duties have been compared with the current DOL exemption fact sheet, not with the job title
- Form I-9 will be completed from the current USCIS form, and identity documents stay out of general AI tools
