Form · Knowledge Management
Information barrier record for an AI knowledge tool
Record of who may and may not retrieve a matter through the firm's AI search or know-how assistant, and the test that showed the barrier holds.
- Kind
- Form. A form to complete, or a guide to completing an official one.
- Where it applies
- Australia
- AI use
- Red You write the text. The tool writes nothing into the document. Where permitted, it may check, clarify or collect data, and anything it checks or collects is verified.
- Law stated as at
- 22 October 2026
- Status
- Maintained. Checked on 22 October 2026 against the 4 authorities it cites, for Australia.
- Version
- 1
- Source
- Written for this library
When to use it
Complete when a matter is walled, when a walled matter is added to an AI index, and when the tool or the group membership changes. The partner responsible for the wall writes who is inside. A shared prompt library and a firm-wide assistant are in scope, not only the document store.
Used for these tasks
- Apply ethical walls to AI knowledge tools
- Set up permission-aware AI search over the DMS
- Audit who can see what in AI knowledge tools
Each task page says how far AI may help with the task and what the lawyer must review.
How AI may be used
The partner writes who is inside the barrier and what the tool must not return; a tool may only list current group members from an access report the partner exports.
AI may
- List names on an access report the partner has exported from the practice system.
- Show whether a named person appears on that report.
AI must not
- Must not decide who is inside the barrier.
- Must not search the walled documents to "check" the barrier.
- Must not add a user to a group.
The lawyer checks
- The inside group matches the people who are instructed on the matter, and no one else.
- The AI index, the document store and the prompt history are all named, or expressly excluded.
- A person outside the group has run the test query and the walled matter did not come back.
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
