Memo · Client-facing & access-to-justice AI tools
Note escalating a client-facing tool transcript to a lawyer (United States)

When to use it
Use when a chatbot or intake tool has collected a message that may be a request for legal advice, a deadline, or a fact the firm should not leave in the tool. The lawyer decides the reply.
Used for these tasks
- Build an escalation matrix for a client-facing tool
- Test a sample of chatbot transcripts for confidential data and wrong law
Each task page says how far AI may help with the task and what the lawyer must review.
How AI may be used
A tool may paste the transcript into the note and highlight dates and names that appear in it. The lawyer decides whether advice was requested and what, if anything, is said to the person.
AI may
- Copy the transcript into the note without shortening it
- List dates, names and dollar amounts that appear in the transcript
AI must not
- Must not draft the reply to the person
- Must not say whether a deadline has been missed or whether the firm will act
- Must not send the transcript to an unapproved tool for a summary
The lawyer checks
- The transcript is complete and the tool has not already shown the person a legal answer
- A lawyer decides, the same day the note is raised, whether the person is a client and what is said
- Information in the transcript is treated as relating to a representation or a prospective client until the lawyer decides otherwise
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
