When to use it
Use on donation forms, supporter sign-ups and campaign pages, with a link to the full privacy policy. Do not use it to describe AI profiling, data enrichment or automated decisions the charity does not actually carry out: the notice must match real data flows.
How AI may be used
AI may draft plain-language wording and translations of the notice. The description of data flows, profiling and AI use must be checked against what the charity's systems and vendors actually do.
AI may
- Draft plain-language wording at a reading level suitable for the supporter base
- Produce first-draft translations for checking by a qualified translator
- Compare the notice with the privacy policy and flag inconsistencies
AI must not
- Must not describe data flows, vendors or overseas locations that have not been confirmed with the charity
- Must not omit an AI use or profiling activity the charity carries out
- Must not state that the charity is exempt from the Privacy Act without the lawyer's confirmation
The lawyer checks
- Every AI, profiling and data enrichment activity described is real and complete
- Direct marketing and opt-out wording meets APP 7 and the Spam Act and Do Not Call rules as they apply
- Overseas disclosure statement matches vendor locations (APP 8)
- Consistency with the privacy policy, including APP 1.7 to 1.9 content from 10 December 2026
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
