When to use it
Use when AI will help build a tenement due diligence table or compliance calendar for a transaction, financing or ASX disclosure. Do not use AI output as a Competent Person statement or as a substitute for live register searches.
How AI may be used
AI may extract and tabulate register data at scale, but every key field is checked against the live register and the lawyer signs off the report.
AI may
- Extract tenement number, type, holder and shares, grant and expiry dates, area, conditions and dealings from register extracts into the table, with page or field references.
- Flag expiry, renewal, reporting and expenditure dates within the next 12 months for a compliance calendar.
- Compare the extracted table with the vendor's disclosure schedule and list differences.
- Summarise conditions into plain-English obligations, quoting the source condition.
AI must not
- Must not interpret geology, resources or exploration results, or produce anything that could be read as a Competent Person statement.
- Must not state that a tenement is valid, in good standing or free of encumbrances.
- Must not receive data room material in a tool whose terms allow training or that is not approved for the client's data.
- Must not fill gaps by inference; missing data is marked as missing.
The lawyer checks
- Every key field has been checked against a register search dated within [7] days of the report.
- Discrepancies between the table, the vendor's disclosures and the register are resolved or reported.
- The supervising lawyer has reviewed the sample checks and signed the verification record.
- The client report says how AI was used and what was verified.
