When to use it
Use whenever an AI tool abstracts one or more leases for advice, due diligence on an acquisition, a critical-dates diary or a portfolio report. Do not use the abstract for advice until the checks in Parts B and C are complete.
How AI may be used
AI extraction is permitted under close supervision. Critical fields are checked one by one against the source; other fields are sampled; nothing goes into advice or a diary until verified.
AI may
- Extract defined fields from each lease and every variation, with the clause, page and quoted source text for each value.
- Flag conflicts between the lease, variations, disclosure statement and registered dealing.
- Calculate candidate dates (option windows, review dates, expiry) for checking, showing the formula used.
AI must not
- Must not be used without the full set of variations, extensions and deeds in date order.
- Must not fill a field with a value not found in the documents; blank and flag it instead.
- Must not be run on leases in a tool that is not approved by the firm for client documents.
The lawyer checks
- Every critical field verified against the source text by a person, with initials and date.
- Sample of non-critical fields checked at the rate in Part C, with any error triggering a full check.
- Date calculations confirmed against the lease's own rules (business days, "not earlier than", "not later than").
- Limitations stated in the report to the client.
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
