When to use it
Use as the single front door for requests to an in-house legal team, on a portal, form tool or email template. Do not use it to receive whistleblower disclosures or as a substitute for urgent phone contact when a regulator, police or a court deadline is involved.
How AI may be used
AI may classify requests, suggest an owner and due date, and draft acknowledgements for routine items. A lawyer reviews the triage and gives every piece of advice; no AI bot advises the business directly.
AI may
- Classify each request by type, risk and urgency using Part H's matrix, with the reasons shown.
- Draft acknowledgement emails and requests for missing documents for a lawyer or legal operations officer to send.
- Flag requests that mention a regulator, litigation, a whistleblower or personal information for immediate human review.
AI must not
- Must not give legal advice or a "self-serve" answer to the business without a lawyer reviewing it.
- Must not process whistleblower disclosures or information that may identify a discloser.
- Must not run in a tool that is not approved by Legal for privileged and confidential material.
The lawyer checks
- High-risk and regulator items were picked up within the response times in Part H.
- AI classifications are sampled at least monthly for errors and bias in routing.
- Requests containing privileged material are stored in the legal matter system, not in general business channels.
Method: how the Green, Yellow and Red levels are decided. This is guidance for planning, not legal advice.
