## When to use it

Give with the costs disclosure and engagement letter for residential and commercial conveyancing where the firm uses AI tools on client documents. Update it whenever the tools or their data terms change. Do not use it as a substitute for the firm's privacy policy.

## How AI may be used

Bounded assistance. AI may help draft and update this notice from the firm's approved tool register; a lawyer confirms it is accurate for the tools actually used and their current data terms.

**AI may:**

- Draft or update the notice from the firm's approved AI tool register.
- Produce a plain-English or translated version for the lawyer to check.
- Check the notice for consistency with the firm's privacy policy and costs disclosure.

**AI must not:**

- Must not describe tools, data locations or safeguards that the firm has not verified.
- Must not promise that AI output is error-free or that the client will save a stated amount.
- Must not be sent instead of a conversation where the client asks questions or objects.

**The lawyer checks:**

- The listed tools match the firm's approved tool register and current contract terms (no training on client data, storage location, retention).
- The costs paragraph matches the costs disclosure and costs agreement.
- The opt-out process works in practice and is recorded on the file.
