## When to use it

Use at first contact (phone, drop-in, outreach or online) in a community legal centre or legal aid service. Adapt it to the centre's case management system and eligibility guidelines. Do not let an online or AI intake clear conflicts or assess safety without a person.

## How AI may be used

Lawyer or trained-worker led. AI may only help with limited support, such as formatting a worker's notes into the form after the interview or running a records search whose result a person confirms. Safety screening, conflict clearance and eligibility decisions are made by people.

**AI may:**

- Format a worker's typed notes into the form fields after the interview, for the worker to check
- Run a name search across the centre's records, with every possible match shown to a person
- Suggest referral services from the centre's own approved referral list

**AI must not:**

- Must not decide that there is no conflict, or that a short-term service may proceed without a full check
- Must not assess or score family violence or other safety risk
- Must not be used to collect intake details directly from a client unless the client has been told, can choose a person instead, and a worker reviews every intake before any advice
- Must not send any message to a client contact address that has not been confirmed as safe

**The lawyer checks:**

- The conflict search was done on all parties' names and aliases before substantive details were taken
- Any possible match was assessed by a lawyer under rr 10, 11 or 11A and the decision recorded
- Safety risks were assessed by a trained person and acted on
- The privacy notice and any AI-use notice were given and the client's choice recorded
