A policy that treats prompts as firm know-how: how prompt templates are designed with guardrails, tested, approved, versioned, linked to precedents, re-tested after model changes, used only in approved tools and retired, with a template skeleton and test record.

## Key facts

- Kind: Policy. A policy or procedure for a firm or client.
- Practice area: [Knowledge Management](https://ailawframework.com/precedents/knowledge-management.md)
- Jurisdictions: Australia, New South Wales
- AI level: Green. AI can do most of the drafting. A lawyer still reviews the result.
- Law stated as at: 2026-10-17
- Status: Maintained. Checked on 2026-10-17 against the 5 authorities it cites, for Australia and New South Wales.

## When to use it

Use when a firm or legal team starts sharing prompts for legal work, or connects prompts to precedents and AI agents. It governs the library; it does not make any output reliable without the user's verification.

## How AI may be used

AI may help write, test and document prompt templates under this policy. Prompts are approved by a practitioner, used only in approved tools, and their outputs are always verified by the lawyer using them.

**AI may:**

- Draft prompt templates and variants for a task, following the design standards in clause 4.
- Run approved test cases and record results in the test record.
- Re-run the test set after a model or vendor change and highlight differences.

**AI must not:**

- Must not approve a prompt or change an approved prompt without re-testing and re-approval.
- Must not use real client documents as test cases unless the tool is approved for them and the matter permits it.
- Must not run prompts that are prohibited by a court practice note (for example, generating affidavit content in NSW).

**The lawyer checks:**

- The prompt's risk level matches the task's risk and the linked precedent.
- Test results show the prompt cites sources and flags uncertainty rather than inventing.
- Approved tools and data classes in the prompt record match the AI tool register.
