## When to use it

Use before the organisation deals with an individual, entity or vessel, or when it may hold an asset of a designated person. Record the date on the spreadsheet that is actually downloaded. The page, when opened on 22 October 2026, showed a file last updated on 16 October 2026.

## How AI may be used

AI may record the name searched and the date on the spreadsheet. The lawyer decides whether a name is a match and whether any dealing may proceed.

**AI may:**

- Record the name, any alias used, and the date of birth if one was used in the search
- Record the last-updated date printed on the spreadsheet that was downloaded
- Leave the match column blank for the lawyer

**AI must not:**

- Must not mark a similar name as clear
- Must not advise that a dealing may proceed
- Must not list the information regulation 42 or regulation 24 requires the asset holder to give the AFP. Those regulations were not opened

**The lawyer checks:**

- The spreadsheet is the current DFAT file, and the search used the names and aliases on it
- A match or possible match is not dealt with until legal advice is obtained
- If an asset may be owned or controlled by a designated person, it is held and the Australian Sanctions Office and the AFP are notified
