Two linked documents for a Commonwealth procurement debrief: a tenderer’s letter asking for written notice of the decision and a debrief under CPRs para 7.17, and the entity’s outline and file record for giving the debrief from the approved evaluation report.

## Key facts

- Kind: Letter. A letter or email you adapt and send.
- Practice area: [Government Procurement & Tendering](https://ailawframework.com/precedents/government-procurement-and-tendering.md)
- Jurisdictions: Australia, Commonwealth
- AI level: Yellow. AI can help in set ways. A lawyer checks specific points before use.
- Law stated as at: 2026-10-18
- Status: Maintained. Checked on 2026-10-18 against the 4 authorities it cites, for Australia and Commonwealth.

## When to use it

Supplier side: send the letter as soon as you are told a submission was unsuccessful, especially if a complaint may follow. Entity side: use the outline to prepare and record a debrief from the approved evaluation record, without disclosing other tenderers’ confidential information.

## Used for these tasks

- [Prepare the supplier's procurement complaint and protect the suspension](https://ailawframework.com/practice/government-procurement-and-tendering.md#A50-X20260927-10)

## How AI may be used

AI may draft the request letter from the notice of outcome and prepare the debrief outline from the approved evaluation report, but a person decides what is said in the debrief and checks that no other tenderer’s confidential information is disclosed.

**AI may:**

- Draft the supplier’s request letter from the notice of outcome and the request documentation
- Extract the approved strengths, weaknesses and ratings for the requesting tenderer from the final evaluation report into the debrief outline
- Build a timeline of the outcome notice, request, debrief and any complaint for the file

**AI must not:**

- Must not create or change any assessment, score or reason that is not in the approved evaluation report
- Must not include other tenderers’ prices, scores, methodologies or other confidential information in the outline
- Must not advise the supplier whether to complain or seek an injunction; that is the lawyer’s call on the facts and the deadlines

**The lawyer checks:**

- Supplier side: the request is sent promptly and keeps open any complaint under the entity’s procedures or the Government Procurement (Judicial Review) Act 2018
- Entity side: every statement in the debrief matches the approved evaluation report, and the debrief explains why this submission was unsuccessful against the published criteria
- Nothing disclosed is confidential to another tenderer, and the record of the debrief is filed with the procurement records
- Any concern raised in the debrief that amounts to a complaint is handled under the entity’s complaint procedure
