Tender schedule in which a supplier discloses where and how it uses AI to deliver the services, the data involved, human oversight, supply chain and banned-systems checks, so the buyer can approve AI use up front under clauses such as the DTA AI model clauses.

## Key facts

- Kind: Form. A form to complete, or a guide to completing an official one.
- Practice area: [Government Procurement & Tendering](https://ailawframework.com/precedents/government-procurement-and-tendering.md)
- Jurisdictions: Australia, Commonwealth, United States
- AI level: Yellow. AI can help in set ways. A lawyer checks specific points before use.
- Law stated as at: 2026-10-17
- Status: Maintained. Checked on 2026-10-17 against the 4 authorities it cites, for Australia, Commonwealth and United States.

## When to use it

Use as a returnable schedule in an approach to market, or as a disclosure a supplier offers when a contract requires buyer approval of AI use. Do not use as the approval itself; the buyer must still approve under the contract.

## How AI may be used

This form is AI-specific. AI may help a supplier compile its register of tools and uses, but the declaration is a representation to government: each entry must be confirmed by the people who run the service and signed by an authorised officer.

**AI may:**

- Compile a draft AI use register from the supplier's software inventory and service procedures.
- Check the draft against the buyer's banned AI systems list and data location requirements.
- Prepare a summary of human oversight steps from the supplier's quality procedures.

**AI must not:**

- Must not state that the supplier does not use AI without a check of its tools, including AI features in standard software.
- Must not describe oversight, testing or security controls that are not in place.
- Must not sign or submit the declaration.

**The lawyer checks:**

- Every tool and use case is listed, including AI features embedded in productivity, coding and contact centre software.
- Data locations and cross-border disclosures match the supplier's contracts with its AI vendors.
- The signatory is authorised and understands the declaration is relied on by the buyer.
