## When to use it

Use for unpaid invoices, loan balances or other fixed sums owed to a client, before issuing a statement of claim or an insolvency demand. Take extra care with individual consumers. Check limitation first: do not use for a debt that may be statute barred without advice.

## How AI may be used

AI may draft and personalise the letter from a reconciled ledger and the client's instructions, but a lawyer checks the amount, interest, limitation, the debtor's identity and circumstances, and the tone before it is sent.

**AI may:**

- Populate the letter and the invoice table from a ledger the client has confirmed
- Flag invoices older than six years, part payments, credits and disputed items
- Check the letter against the conduct guardrails in the drafting notes and list departures

**AI must not:**

- Must not calculate or add interest or costs that the contract or the law does not allow
- Must not threaten steps the client is not entitled to take or has not instructed
- Must not send the letter or decide when a debtor is in hardship
- Must not be given debtor personal information in a tool whose terms allow training

**The lawyer checks:**

- The amount reconciles to invoices, payments and credits, and the debtor is the right legal entity
- The debt is within time and any acknowledgment or part payment is noted
- The letter does not mislead, harass or coerce, and threatens only intended and lawful steps
- Hardship, dispute and representative arrangements are respected
