## When to use it

Adopt before the firm uses AI or automation to draft, personalise or send letters of demand, reminders, SMS or emails to debtors on behalf of creditor clients. Review whenever templates, tools or the law change.

## How AI may be used

AI may draft and personalise letters within approved templates from reconciled data, but every batch passes automated and human checks, flagged accounts are handled by a person, and a lawyer signs off before anything is sent.

**AI may:**

- Personalise approved templates with reconciled account data
- Run the pre-send checks and route flagged accounts to human review
- Record contact attempts and enforce the contact limits
- Produce batch reports for lawyer sign-off

**AI must not:**

- Must not create new template wording or change approved wording
- Must not send any communication without lawyer sign-off of the batch
- Must not contact a debtor who has a representative, a dispute, a hardship arrangement or an insolvency flag, except as this protocol allows
- Must not disclose a debt to anyone other than the debtor or their authorised representative

**The lawyer checks:**

- The batch report shows all pre-send checks passed or were resolved
- The sample review met the required rate with no unresolved errors
- Templates in use are the current approved versions
- Incidents and complaints are logged and acted on
