## When to use it

Complete on the firm's cycle (for example monthly while a tool is new, then quarterly) and after any incident that changed the scope. File it with the scope schedule and the sample reviews for that period.

## How AI may be used

The supervising lawyer writes the conclusions in the minute; a tool may only add counts from the sample reviews and incident reports for that period.

**AI may:**

- Add counts from the signed sample reviews and incident reports: conversations, flags, incidents, topics paused.
- List the scope-schedule version numbers that were live during the period.

**AI must not:**

- Must not write the conclusion that the tool is safe, compliant, or fit to continue.
- Must not recommend that a topic be added.
- Must not be given raw transcripts for the purpose of drafting this minute.

**The lawyer checks:**

- The counts match the signed reviews and incident reports, not a dashboard the reviewer has not reconciled.
- Each open incident has an owner and a next step.
- The keep, change, or switch-off decision is in the supervising lawyer's words and is signed.
