An internal protocol for registering and triaging large numbers of group members with AI assistance: approved tools, data minimisation, triage flags, mandatory human review, communications rules, privacy notices including automated-decision transparency, and quality checks.

## Key facts

- Kind: Policy. A policy or procedure for a firm or client.
- Practice area: [Class Actions / Representative Proceedings](https://ailawframework.com/precedents/class-actions-representative-proceedings.md)
- Jurisdictions: Australia
- AI level: Yellow. AI can help in set ways. A lawyer checks specific points before use.
- Law stated as at: 2026-10-17
- Status: Maintained. Checked on 2026-10-17 against the 6 authorities it cites, for Australia.

## When to use it

Adopt before opening registrations in any class action where the firm expects hundreds or more registrations and proposes to use automation or AI to process them. Review it whenever the class definition, the tools or the privacy law change.

## How AI may be used

AI may validate, de-duplicate and triage registrations against the class definition and flag issues, but eligibility decisions, communications and any advice to group members are made by people under this protocol.

**AI may:**

- Validate form fields and flag missing or inconsistent information
- Flag possible duplicates and registrations that appear outside the class definition or period
- Extract data from uploaded documents into the registration record for checking
- Route registrations to the correct human review queue

**AI must not:**

- Must not decide that a person is or is not a group member
- Must not send any communication to a group member that a lawyer has not approved
- Must not answer group members' legal questions or give advice
- Must not process registrations in a tool that retains data beyond the matter or trains on it

**The lawyer checks:**

- Every exclusion or uncertain flag has been reviewed by a lawyer
- Sample checks of accepted registrations meet the quality threshold
- The collection notice and privacy policy are accurate for the tools in use
- Supervision and the audit log are maintained
