Staff AI training acknowledgement and log: what each person was trained on, the tools they may use, the policy version they acknowledged and refresher dates. It also records AI literacy measures for firms subject to article 4 of the EU AI Act.

## Key facts

- Kind: Form. A form to complete, or a guide to completing an official one.
- Practice area: [AI decision systems](https://ailawframework.com/precedents/ai-decision-systems.md)
- Jurisdictions: Australia, Commonwealth, New South Wales, Victoria, Western Australia, Queensland, European Union
- AI level: Green. The tool writes the first draft inside a template you have already tested. You check it. Without that test, first drafting starts at Yellow.
- Law stated as at: 2026-11-07
- Status: Maintained. Checked on 2026-11-07 against the 4 authorities it cites, for 7 jurisdictions.

## When to use it

Use when someone joins, when the AI policy changes, and when a new tool is approved. It is the record behind the training and AI literacy clause and the acknowledgment schedule of the master AI policy (a45-law-firm-ai-use-policy).

## How AI may be used

A tool may keep the log and list who is due for training. A partner decides which tools each person may use.

**AI may:**

- List staff whose acknowledgment or refresher is overdue
- Fill in training dates from attendance records

**AI must not:**

- Must not grant tool access or mark training as complete without a record
- Must not change the policy version a person acknowledged

**The lawyer checks:**

- Each person's permitted tools match the approved tools register
- Training covers the court practice notes relevant to the person's work
- For EU-facing work, the firm's AI literacy measures are recorded
